ADVICE
Red Soda has performed at more than 2,000 Sydney weddings. That means we have been through the booking process thousands of times, from the first enquiry through to the final song of the night. We know what questions couples ask at every stage, what surprises them, and what makes the difference between a stressful experience and a straightforward one. This guide covers every step.
If you have never booked a professional wedding band before, the process can seem opaque. What do you actually get? How far in advance do you need to book? What happens if something changes? The answers are simpler than most couples expect, and knowing them upfront makes the entire planning process run better.
The fastest way to start is through the Red Soda Package Builder at redsoda.com/quote. You can explore all music configurations, watch live performance videos and see exact pricing for your date before reaching out. Everything in this guide describes what follows once you do.
At Red Soda, 2,000+ Sydney wedding receptions have taught us what live music actually does to a room. It reads the crowd. It builds energy across the evening. It responds when the room needs to be lifted, and it pulls back when a moment calls for quiet. No playlist can do that.
Couples who choose live music almost universally say the same thing afterwards: it was the part of the night that guests talked about most. Not the flowers. Not the food. The music. When a live band performs your first dance, the room holds its breath in a way that a recorded track simply does not create.
Red Soda holds 550+ five-star Google reviews across more than 2,000 Sydney weddings. Our musicians are professional, degree-qualified performers trained at the Sydney Conservatorium of Music and institutions including the Juilliard School and Berklee College of Music. Several have performed alongside Stevie Wonder, Ed Sheeran, Michael Bublé, Lionel Richie and Sir Paul McCartney.
The Package Builder at redsoda.com/quote is designed to replace the traditional back-and-forth enquiry process. You choose your date and venue, select the performers and configurations you are interested in, and see pricing update in real time.
You can browse all Sydney wedding music packages, compare band sizes and watch our performance videos before sending a single message. Most couples spend 20 to 30 minutes in our builder before submitting their first enquiry.
For those who are unsure which configuration suits their venue and guest count, the Package Builder prompts you through the key decisions. Once you submit, a Red Soda Band Manager responds and handles everything from that point forward.
Once you have confirmed which configuration you want and your Band Manager has verified availability, you sign a booking contract and pay the deposit. Red Soda requires a deposit of 30% or $990 (whichever is greater) to secure your booking. For packages under $1,500, a 50% deposit applies.
At Red Soda, once you are booked, we never cancel. Your performers are confirmed, your date is locked, and your booking is honoured regardless of what changes between now and your wedding day. Final payment is due at least 8 weeks before your event.
After booking, your Band Manager sends a detailed song selection template covering every ceremony and reception moment. You fill it in at your own pace with song preferences, must-not-play requests and any special instructions. This template is the foundation for your pre-wedding consultation.
Two key deadlines apply to every Red Soda booking. All song choices are due at least 8 weeks before your wedding date. Your full event timeline is due at least 14 days before. These deadlines allow proper preparation, rehearsal of custom arrangements and coordination with your venue team.
Your Band Manager runs through the final running sheet with you and confirms all logistics before the day. By the time your wedding arrives, the music is planned, the performers are briefed and every transition is mapped.
Red Soda wedding reception music in Sydney packages start from approximately $3,250 for an Acoustic Duo and range through to approximately $6050+ for a 7 to 9-Piece Band.
A standard reception package includes up to 180 minutes of live performance, structured as either four 45-minute sets or three 60-minute sets. Spotify coverage fills between live sets to maintain continuous music across the evening.
Every Red Soda live band package includes the performers you select through the Package Builder, your first dance song learned and performed live, support from a dedicated Band Manager throughout the planning process, and standard travel to most Sydney, Hunter Valley and Southern Highlands venues.
For help choosing which band size suits your venue and guest numbers, see our guide to the right band size for your Sydney wedding.
Red Soda also offers three DJ Combo configurations for couples who want both live performance and continuous DJ coverage across the evening.
The 1-Piece DJ Combo pairs acoustic live performance with DJ coverage in a single booking, starting from approximately $2,200. The 2-Piece DJ Combo adds a live saxophonist or electric violinist. The 3-Piece DJ Combo includes both live instruments alongside the DJ for maximum dance floor energy.
All three DJ Combo configurations are managed by one Red Soda team on a single timeline. One booking. One Band Manager. One coordinated performance across the full evening.
A Red Soda booking contract clearly covers: the performance date and confirmed time slots, the agreed fee and payment schedule (30% or $990 deposit to confirm, balance due 8 weeks before), the specific performers and configuration booked, the cancellation and postponement policy, equipment and venue requirements, and any agreed special requests.
Red Soda's contracts are written to be clear and complete. If anything is unclear, your Band Manager resolves it before you sign. There are no hidden fees for most Sydney venues: travel and standard setup are included in the Package Builder quote.
When comparing multiple suppliers, watch for these warning signs in any entertainment contract:
The pre-wedding consultation is a call or video meeting with your Red Soda Band Manager, typically held two to three months before your wedding. It is the most practically important conversation in the booking process. You can find answers to common questions on our Red Soda FAQs page, but the consultation is where you personalise the details for your specific day.
During this conversation, you will confirm your song choices for every key moment, walk through the reception running sheet, discuss do-not-play requests, review the order of events and confirm all logistical details. Your Band Manager also uses this call to brief the performers and flag anything that requires preparation.
Come to the consultation with these questions ready:
Clear answers to these questions mean you can stop managing the entertainment on your wedding day and enjoy it instead.
Song selection is more involved than most couples expect, but it is also one of the most enjoyable parts of the booking process. Start with your non-negotiables: your first dance, last song of the night and any songs tied to a specific memory. For inspiration across all ceremony and reception moments, our popular Sydney wedding song list covers the most-requested songs by moment.
Red Soda's in-house library covers nearly 1,000 exclusive custom arrangements of contemporary songs. These arrangements have been written specifically by Red Soda musicians, covering everything from Taylor Swift and Ed Sheeran to John Legend and Stevie Wonder.
For our band and DJ, you can choose almost any song you love - it doesn't need to be on any of our existing song lists. Your Band Manager will work with you to build a setlist that suits your wedding, your guests and the atmosphere you want to create.
For our String Quartet, songs outside our existing arrangement library may require a small music preparation fee to create a new arrangement specifically for your wedding.
Do not over-prescribe the setlist for the dance floor. Experienced bands perform best when given room to read the crowd. Provide a strong base of must-play songs and let your Band Manager's professional judgement guide the rest.
All finalised song choices are due at least 8 weeks before your wedding. This covers every key moment: ceremony processional, signing, recessional, first dance, parent dances and reception requests. Do not leave song submissions until the week before; custom arrangements require proper preparation time.
Your Band Manager sends the song selection template immediately after booking. Most couples find it takes two or three sittings to complete, particularly for the ceremony sections. The sooner you start, the less pressure you feel as the date approaches.
At Red Soda, party bands and amplified acts arrive up to one hour before the first music cue. For unamplified string ensembles (including String Trio, String Quartet and Violin + Cello Duo), 15 minutes before the music starts is usually sufficient. All setup and sound check are completed before guests arrive. You will not see equipment being carried through the room when you walk in.
All advance logistics have been confirmed by your Band Manager in the weeks before the day: stage position, power access, load-in window and any venue-specific restrictions. There is nothing left to coordinate on the morning of your wedding.
The sound check calibrates the system to the specific acoustics of your venue, balances each instrument and microphone, and confirms that volume levels are appropriate for both performance and the conversation happening around it. It is completed before guests arrive and should be invisible to everyone outside the performance team.
Once the doors open, Red Soda takes full responsibility for the musical atmosphere of your reception. The evening typically runs across four 45-minute live sets (or three 60-minute sets), with DJ coverage filling between live performances so music never stops. The Band Manager monitors the running sheet throughout the evening and makes adjustments in real time if speeches run long or the schedule shifts.
Good bands make constant micro-adjustments based on what they observe in the room. If the dance floor is filling, the tempo stays up. If the room needs a breather, the energy pulls back. This is what separates a professional performance from a group that simply plays a list.
Red Soda's Band Manager contacts your venue coordinator in the weeks before your wedding to confirm: the stage or performance area and its dimensions, available power access and its location, the confirmed load-in window and any bump-in restrictions, noise curfew timing and compliance requirements, and whether a certificate of public liability insurance is required.
Red Soda carries $20 million public liability insurance and provides a certificate of currency on request. Most Sydney venues require this document before allowing external performers to set up. Your Band Manager submits this as part of the standard pre-event coordination process.
Before finalising your venue, confirm these details with your venue coordinator:
Red Soda performs at most major Sydney wedding venues regularly. Venues including Curzon Hall, Doltone House, Pier One, Gunners Barracks and The Grounds of Alexandria are all well known to our production team. In many cases, the venue AV team and Red Soda have worked together before.

Our musicians are professional, degree-qualified performers trained at the Sydney Conservatorium of Music, the Juilliard School in New York and Berklee College of Music in Boston. Several have performed on the world's biggest stages alongside Stevie Wonder, Ed Sheeran, Michael Bublé, Lionel Richie and Sir Paul McCartney.
Red Soda has built an exclusive in-house library of nearly 1,000 custom string arrangements. These are not generic covers; they are pieces written specifically by Red Soda musicians, performed in a way you will not hear anywhere else. And once you are booked, we never cancel.

I loved the music; the violinist really set the atmosphere and I was almost lost for breath as I was about to walk down the aisle. We had talked about getting emotional thinking about that particular song and that was definitely the case for me on the day.”
