The right format depends on your guest count and the atmosphere you want.

Match Your Band Size to Your Guest Count

Guest numbers are a good starting point when choosing your line-up. A Four-Piece Band suits receptions of around 80 guests. A Five-Piece Band suits around 100 guests. For larger receptions of 150 to 350 or more guests, a 6 to 9-Piece Band gives a bigger sound and more presence on the floor.

Smaller bands suit a more intimate atmosphere. Larger bands provide greater sound, energy and visual impact. The best fit depends on your venue, your guest list, and the atmosphere you want to create.

Why a Second Lead Singer Adds Energy

Two singers add more than volume. Two voices create richer harmonies and a stronger stage presence than one singer alone. A second vocalist also adds variety across the night, from softer songs during dinner through to bigger moments once the dance floor opens.

We recommend placing Parent Dances just before the First Dance. This keeps the family moment connected to the reception's biggest energy shift, rather than treating it as a separate formality later in the night.

Stopping the music for a delayed announcement once the dance floor is open can take real effort to recover from. Group formalities together earlier in the evening where possible, so the dance floor can build without long interruptions.

A standard five-hour reception package includes up to 180 minutes of live music. This usually runs as four 45-minute sets or three 60-minute sets. Planning the whole night as one arc helps keep the momentum going from the first song to the last.

Work With Your Band Manager on the Running Sheet

Your final timeline is due at least 14 days before your wedding. This gives your Band Manager time to plan the sets and key moments around your specific schedule.

Keep Your Musicians Comfortable

For reception bookings that include dinner service, we ask that each performing musician is provided with one hot crew meal. Most Sydney wedding venues offer a reduced crew meal rate.

What to Expect When You Book Your Reception Entertainment

Booking your band or DJ is straightforward once you know what to expect.

Securing Your Date

Your booking is confirmed with a deposit of 30 per cent or $990, whichever is greater. For bookings under $1,500, the deposit is 50 per cent. Your final payment and song choices are both due at least 8 weeks before your wedding.

Arrival, Setup and Load-In

Reception bands and DJs typically arrive up to one hour before the music begins. Load-in must be completed before guests enter the venue. If you need an earlier load-in time, this can usually be arranged with your Band Manager with enough notice.

Yes. MC services can be added to any Red Soda live band or DJ Combo package. Many of our performers are experienced at wearing multiple hats throughout a reception, so the same musician who performs during your event may also act as your MC.

Is travel included if our venue is outside central Sydney?

For most Sydney, Hunter Valley, Southern Highlands and NSW venues, travel is included automatically in your package builder quote. For venues further afield, your Band Manager will confirm any additional travel costs before you book, so your budget is settled early.
